OFFICE ADMINISTRATOR

Part-Time | $17.50/hour | 20 hours/week | Start Date: June 23, 2025

General Job Description

The Office Administrator supports the mission and policies of the Allegany County Chamber of Commerce by providing administrative support for annual and special events, committee work, and daily office operations. This position plays a key role in member engagement, communications, and maintaining smooth internal workflows.

Reports to: Chamber President/CEO
Location: Cumberland, MD
Schedule: Monday–Friday, 8:00 AM–12:00 PM (20 hours/week)

Specific Job Responsibilities

Annual & Special Events
– Collect RSVPs and coordinate off-site arrangements (pricing, food, venue logistics)
– Arrange planning meetings and take notes
– Prepare and distribute event materials
– Track and follow up on action items

Committee Meetings (Regular & Special)
– Schedule meetings and send notices to Chamber members
– Distribute agendas and materials
– Record minutes and coordinate follow-up

Chamber Programs
– Assist with scheduling, logistics, and materials preparation
– Coordinate off-site needs, including pricing and food arrangements

Membership Software Administration
– Manage communication and event notices
– Prepare and issue monthly and annual invoicing
– Maintain accurate membership records

General Office Management
– Oversee office supply inventory and ordering
– Coordinate service providers and equipment maintenance
– Perform basic bookkeeping tasks
– Support scheduling and general workflow efficiency

Customer Service
– Serve as a welcoming point of contact for Chamber members and visitors, in person and by phone

Education/Experience

– High school diploma required; post-secondary training in business administration or technology preferred
– Minimum 2 years of administrative experience in a fast-paced office setting
– Strong written and verbal communication skills
– Proficiency in Microsoft Office 365 (Outlook, Word, Excel, etc.)
– Familiarity with membership or database management software is a plus
– Physical requirement: must be able to lift up to 25 lbs

Compensation & Benefits

– Wage: $17.50/hour
– Paid Time Off (PTO)
– Paid parking
– This is an at-will, part-time position
