JOB DESCRIPTION

General Joe Description

The Office Administrator shall support the mission and policies of the Chamber of Commerce by providing administrative support for annual and special events, committee work and daily office activities.

Specific Job Responsibilities

  1. Annual & Special Events: provide administrative support – collect RSVPs, arrange off-site locations, including pricing and food coordination, arrange all planning meetings, distribute materials, take notes, and coordinate follow-up tasks.
  2. Regular & Special Committee Meetings: arrange all meetings with notices to Chamber members, distribute materials, take notes, and coordinate follow-up tasks.
  3. Chamber Programs: work with Chamber staff to provide administrative support, including but not limited to assisting with scheduling meetings, materials preparation and distribution, and any off-site arrangements, including pricing and food coordination.
  4. Manage and maintain through the Chamber’s membership software:
    1. Distribute communications and notices
    1. Prepare annual and monthly membership invoicing
    1. Provide administrative support for the coordination and distribution of marketing materials
  5. General office management: maintaining the operations and workflow through the coordination of supply purchases, maintenance, overall scheduling, organization, time management, and basic bookkeeping.
  6. Serve as a main point of contact to members and guests, either by phone or in person.

Education/Experience

A qualified candidate will hold a high school diploma and preferably have additional training in business administration and/or business technologies and will have administrative experience in managing and coordinating a successful, fast-paced office.

Proficiency is required in writing, communication, and Microsoft Office 365; familiarity with database management will be strongly considered. A minimum physical requirement – must be able to lift 25lbs.

Additional Details

Work days: Monday – Friday
Work hours: 32/week (scheduling flexibility)
Benefits: paid parking, PTO
Wage: $16/hour
Start Date: Friday, March 1, 2024
